The Greater Northampton Chamber of Commerce (GNCC) is a 501(c)(6) non-profit organization that provides business education programs, economic support services, community-building events, and other activities to foster a thriving economy and community.  GNCC is the oldest and largest chamber in the Pioneer Valley and serves a diverse mix of nearly 500 investors (members) that include large and small businesses, major institutions, non-profits, and individuals.  GNCC is also the umbrella organization for the Hampshire County Tourism & Visitors Bureau, also known as the Hampshire County Regional Tourism Council (HCRTC).  The HCRTC is responsible for promoting and providing services for tourism, convention, travel, and recreation to Hampshire County.  The GNCC is a mission-focused organization committed to its vision for a prosperous community, distinguished by creativity, inclusion, and stewardship of place – for the benefit of all.

Position Overview

The Program Assistant is responsible for providing front-line support in day-to-day operations and executional assistance on mission-critical programs, assigned projects, and special events.  The position reports to the Executive Director and also provides assistance to the rest of the GNCC staff, which includes the Senior Manager of Investor and Community Relations, Senior Marketing and Communications Manager, and Operations Manager.  We are seeking someone who is customer-focused, results-driven, team-oriented, self-motivated, and well-organized.  The ideal candidate must be able to juggle multiple tasks simultaneously and manage shifting priorities throughout the workday.

Scope of Responsibilities

Provide front-line customer service and day-to-day management of GNCC office and Visitor and Information Center: 

  • Monitor phones, email, websites, and regular mail; follow through on requests.
  • Maintain and manage inventory of tourism collateral, office supplies, etc.
  • Assist visitors, investors (members), and volunteers as needed.

Assist with operations and management of the Greater Northampton Gift Card Program:

  • Plan and process all card sales (in-person sales, phone orders, online orders, and kiosk sales).
  • Maintain kiosk at Thornes Marketplace.
  • Forecast, purchase, and monitor gift card supplies to meet demand.
  • Maintain current roster of participating merchants.
  • Assist Program Manager with special projects, including analyses and reporting.

Maintain and broaden use of Customer Relationship Management (CRM) system:

  • Own administration and data management of CRM system to include prospecting information, accuracy of current investor information, accuracy of transactions and data entries, etc. 
  • Become CRM system expert to leverage features and tools to improve efficiency, and train investors on account access and system use.
  • Monitor and develop standardized forms and communications to maintain critical contact with investors.
  • Assist with monthly dues billing and collection of late payments. 

Play key role in support on Marketing and Communications initiatives:

  • Monitor social channels for comments/questions.
  • Help source images and video footage for various tourism projects/needs.
  • Assist marketing manager with maintaining Constant Contact subscriber list.

Work Schedule

Our office hours are Monday-Friday, 9:00 am – 5:00 pm.  Position requires occasional work on nights and weekends. We offer competitive pay, and total package includes healthcare benefits, paid time off, and retirement contribution.
